Meeting Room Agreement Form


Clifton Springs Library Community Meeting Room Policy
The Clifton Springs Library makes available to the public its meeting room under conditions set forth here by the Library Board of Trustees.
Room capacity is 100 persons; refreshments may be served; kitchen facilities may be used.
First priority is given to library activities or library-related use. Other groups may use the room on a first-come, first-served basis. Groups may request that attendance at meetings be restricted to members and guests, with the exception that the room shall be open to any library staff member on duty or a member of the Library Board.
The Board reserves the right to limit, when demand requires, organizations which hold periodic meetings in an effort to encourage the broadest use possible by many community agencies and organizations.
The Meeting Room is available as arranged with the Director. The Community Meeting Room may be used before, during and after library open hours. The person in charge of the meeting is responsible for cleaning up and locking the meeting room doors.
Fees for the use of the Community Meeting room may be charged to groups that are not library-related.

No admission fee or required donation may be charged as a requirement for entrance to a meeting. A sponsor of a meeting or program may request a fee that covers cost of materials furnished to participants. Meetings will be free and open to the public with exceptions being made at the discretion of the director.
Reservations for the use of the Meeting Room must be made by notifying the library and filling out a reservation form. The form will include the name of the organization, name of person in charge and phone number where he/she may be reached. The library should be notified promptly in case of cancellations.
Children's groups may use the meeting room provided there is adult supervision.
Rooms must be left in acceptable, unlittered condition. Tables and chairs should be returned to the positions in which they were found. Any equipment used must be returned to the closet or kitchen area. Groups are held responsible for any damage to the rooms and contents while they are meeting.
The director is authorized to deny permission to use the library rooms to any group that is disorderly or that has violated these regulations in the past.
There is to be no smoking or consuming of alcoholic beverages on the premises.
The fact that a group uses the library's meeting rooms does not in any way constitute an endorsement of the group's policies or beliefs by the library.
